Terms Of Hire
Customers agree to T&Cs whether or not they have been read & signed. A copy has been made available to you to read. By proceeding with a booking and upon receipt of deposit it will be assumed the T&Cs have been agreed to.​

Terms & Conditions:

Terms of Hire - Guests of your event are made aware that hire items are NOT to be taken home under any circumstances. Any missing items will be payable by the customer in full. Customers are fully responsible for items left in their care, even after the event has ended and the items are yet to be collected.
All items must be kept dry and free of rain and an indoor space must be available to move items inside and undercover if needed. Any loss/damage of items cause by rain will be payable by the customer.

Any outstanding balance is due 4 weeks prior to your event. If the event is less than 4 weeks away at time of booking then the total balance must be paid at the time of booking. If the balance is unpaid after the due by date, it will be presumed that the booking is cancelled and it will be within the company’s rights to rebook the Hire item for another celebration. Your deposit will be lost.

The customer agrees to allow photographs taken by the staff of “Emerald Events Hire” to be used for promotional purposes.
Delivery and pick up of Emerald Events Hire items within Herts & Beds will incur a £55 delivery & collection charge. Any areas outside of Herts & Beds incurs a charge for petrol and additional travelling time. Prices on request.

Collection after 10.30pm incurs a £50 surcharge. Latest collection time is midnight. Next day collection is available if agreed prior & is at no additional cost.
Breakage/Damage/Loss Deposit On occasion a breakage/Lost items deposit is required on some items, payable on balance, which is refunded within 2-3 days of the event subject to there being no damage or loss to “Emerald Events Hire. The deposit amount will be a % of the total hire value. Complete loss or un-repairable damage, will result in additional replacement charges.

In addition to the above deposits: Cancellation charges will apply: - Any cancellation by customer for ANY reason – 100% of monies paid will be lost. In the event of cancellation, any breakage deposit paid will be fully refunded in full. In the very unlikely event that the booking is cancelled by “Emerald Events Hire” any payment received will be fully refunded.

If you need to move the date after deposit/full payment has been received, this is completely at Emerald Events Hire 'discretion as to whether or not this is possible. If possible, a mutually agreed new date/setup/collection times will be booked in. Please note that if it is a new venue/location which is further away or Public holiday, additional charges will apply. Please do not assume a new/date location will be given. Please do not book a new venue/date until you have checked with us we can reorganise, and what, if any, additional charges there shall be. Emerald Events Hire hold NO responsibility to any monies lost by the client for booking a new venue/date that we cannot facilitate.

PLEASE NOTE - If you request cancellation you cannot at ANY time after this point request to move the date instead. This will NOT be granted. If you need to move the date this must be stated at the beginning. The change of date, as above, is completely at the discretion of Emerald Events Hire and is NOT at all guaranteed.

Change of items and/or cancellation of items or number of: We do not allow for the order value to decrease due to cancellation of items or the number of items changing. This is because we reserve these items specifically for your booking and would have turned down other customers, thus losing us business/income. However, if you wanted to change an item you can do so but you would liable to pay the difference if any. Emerald Events Hire will not refund any monies if the new item is less in cost. Also, please note we cannot always guarantee the changing of items as this will depend on availability.

Payment: We accept cash, cheque & bank transfer. If the cheque does not clear your booking date will be given to another party.

Nut Allergies & Safety Warnings Please note that some of the sweets may contain or have traces of nuts or nut oils; or may have been made alongside other products containing nuts. “Emerald Events Hire” cannot be held responsible for any issues resulting from food allergies. A file of all sweet ingredients and allergens will be attached to the cart for your information on request. Safety is the responsibity of the hirer. Customers should also ensure that children are suitably supervised to avoid sweets being chosen which would pose a choking risk. This is even more important for children aged under 5yrs. Similar care should also be taken to ensure children’s safety relating to plastic packaging to avoid any risk of suffocation.

“Emerald Events Hire” can NOT be held responsible for safety issues which occur from the use of equipment, consumables or the consumption of confectionery left at the celebration location.

We ask that you do not relocate any item we have set up unless you have prior written permission by us. The Light up letters and numbers and all other items due to size and weight are not to be sat on and children must be supervised around them at all times. Portable Appliance Testing All our electrical items are inspected periodically and are PAT tested annually. You can see a copy of our certificate on request.

Soft play - ALL children are to be supervised AT ALL TIMES. Emerald Events Hire hold NO responsibility to ANY injury caused whilst using our soft play. Only children 5 years old and below are permitted to use the soft play. Strictly NO face paint. Any stains from face paint will be fully chargeable to the client for the new piece(s) of equipment affected by staining as the stains do not come out. No shoes and no food. We do not allow our soft play to be used outside unless it is to be placed on astro turf. If to be used inside a marquee, a full watertight floor covering must already be in place. This is because grass and mud stains cannot be cleaned/removed. No items are to be taken home. ANY missing or damaged items are payable IN FULL by the client.

Collection of items from us/our warehouse - On occasion we allow customers to collect/drop back items from us to set up themselves. ID is required on collection which we take a copy of for our security. Any missing or damaged items in your care will be chargeable in full. Great care in transportation and installation must be taken at all times. All items in full must be returned to us at the agreeable date/time to ensure they are ready for the next hire date/event. All items must be returned to us in the same packaging/bags/bubble wrap/boxes as they were given in. All items must be returned clean and in order ready for the next hire/event.

Insurance Our Insurance provides us cover to the value of: £2,000,000 of Public & Product Liability Insurance You can see a copy of our Insurance cover on request.

It is the customer’s/hirers responsibility to ensure that: 1. Under no circumstances are hire items to be exposed to wet weather. An indoor alternative must be available. 2. That you have checked with your chosen venue, that they allow external hire items on site. 3. You liaise with the chosen venue prior to the event date and advise of a suitable set up & pick up time, mutually agreed. 4. Guests are aware that hire items are NOT to be taken home under any circumstances. Any missing items will be payable by the customer in full. This includes any missing extension leads. 5. Any injury resulting from falling items does not render Emerald Events Hire liable. 6. If high winds/rain are present on the day an indoor alternative must be used for safety.
